Fundware® UpdateOctober, 2006 |
Hi Everyone,
If you let FundWare take vendor discounts for you, you can get a useful report in return. At any time you can drill down into transactions that have been posted to GL or PG. No need to run a report either! Finally, are you tired of someone looking at your reports in Print Manager, or even deleting them? There's a solution, keep reading! As always, if you have any questions regarding a FundWare® issue, please contact me at (318) 253-8556, or email me at jgarv@afmss.com Thanks,
Judy Garver
Discount Lost/Taken ReportAccounts Payable has an option to take vendor discounts for you (at the time of producing checks). This can take advantage of vendor discount terms that you have negotiated with your vendors. Terms may take the form of a 5% discount if you pay within 10 days of the invoice date, otherwise payable within 30 days. If discounts are taken, they show up on the Vendor's check stub, with the proper net amount being paid. The savings from the discount will be posted to an account you have setup, such as one called "Discounts Taken", or, the appropriate expense account will be reduced by the proper amount. Once you are taking vendor discounts via the software, you have available to you a useful and revealing report called "Check-Discount Lost/Taken Report". This report shows the vendors, obligations, net amount of check, discounts taken and lost, and up to nine references you may have setup. Show the report to the boss, and he/she will see (such as in the report below) that over $10,000 has been saved in the form of discounts! You could then suggest that there is now enough money to remodel the cubicles!

You may review any transaction that's ever been posted. Just go to General Ledger/Journal Entries/Posted. Select a date range as shown in the image. Click on the "Find Now" button and you will see the transactions in that date range. Highlight one (transaction 124 is shown highlighted) and click on the "Drill Down" button and you will see the Transaction Drill Down Screen as shown at lower right. This shows each of the debits and credits that made up the transaction. The "Print Grid" button lets you print the results, too.

Q We have some new employees that are not subject to FICA, yet most are. How do we pay them?
A You could, for example, copy your hourly earnings item (give it a new name) and remove the .fica and .ficamed items from the field 4 (the "Basis for" line). You may do the same for any other earnings item. You will end up with two types of earnings items. You may also have to edit some benefit items that prorate expenses based on earnings items-the new ones must be added. Give us a call.
Q I just noticed the new "Edit Account" feature in GL. What is it?
A You may edit accounts on your chart of accounts screen, as before. However, if you have a huge chart of accounts, it may take a while to load so you can do the editing. The new "Edit Account" feature does not load the chart of accounts and show it on screen. Instead, it lets you key in one or more accounts to be edited, and then, of course, you may do the required editing. This may speed up the process for those with very large charts of accounts.
Some users produce reports, such as Payroll checks, departmental reports, or other sensitive reports, that you do not want other users to see. However, unless you change their report directory, all of their reports will go to the DATA directory, where everyone can read and/or print them. This article shows you the three steps required to setup a report directory for each FundWare user.
First, you will need to talk to your network supervisor and ask him/her to create a network directory for each user, probably using the person's name or initials. The network person will then assign permissions to the directory so only the one person can access it.
Second, the new report path (including the user's new directory) must be placed on each user's security record (this must be accomplished by someone with FundWare administrator rights).
Open Division 00 and go to Security/Users. Double click on a user. Enter the path to the user's new report directory in the "Report Path" field, as shown below.
The third step involves setting up the Print Manager so it will show reports from their new directory instead of the DATA directory. This must be done for each user, while signed in as each user.
In your live division, go to File/Print Manager. When Print Manager opens, go to File/Set Report Directory. From the available report directories, select the user's report directory, as shown at right. After clicking on the "OK" button, your setup is complete for this user!
Now, when a user runs reports, those reports will go to their directory. And then, when the user opens Print Manager, only his or her reports will be visible.
Fixed Assets. At any time you may adjust the value of any portion of your assets by percentage (plus or minus). This will take the original value of the selected assets and modify them by the percentage you have selected. There is a preview mode that will show you what the effect will be, and the amount of any posting that will be done to General Ledger or Project Grant.
Budget Preparation. You may have any number of budget cycles in Budget Prep (such as a cycle for each fiscal year, for example). Within each cycle, you may have any number of workbooks (each of which may have its own worksheets-representing, for example, groupings of accounts or projects). Finally, within each workbook you may have any number of worksheets that may contain a single program or project. You may post any workbook, or portion, as needed.
Accounts Payable. The AP parameter allows you to control what references and data items you want to see on your trace reports. If the information you want is not available, you may want to add a new reference, or data item, and include it on the trace reports.
