Accounts Receivable has the ability to assign all like customers to specific groups, making communication
easier when you wish to contact an entire category of customers at the same time. This grouping feature
increases productivity in many ways, such as creating invoices for groups of customers. Fully integrated with
FundWare General Ledger and Project/Grant modules, FundWare Accounts Receivable delivers excellent
cash flow management.
Account for Revenue from All Sources with Cash Receipts
Accounts Receivable is fully integrated with FundWare Cash Receipts allowing all payments, whether they
are related to an outstanding invoice or simply a miscellaneous cash receipt, to be entered. Clients who have
already installed and used Cash Receipts will find that all of their customer and revenue codes are available
through Accounts Receivable as well. This true integration allows exceptional flexibility in tracking and
managing receipts from all sources.

Accounts Receivable features Query, an enhanced analysis and inquiry tool that provides easy access to
data. Query significantly increases productivity allowing you to capture and view data in real time, rather than
producing dense, cumbersome reports that may or may not have the flexibility to reveal the data you need.
Full Accounts Receivable Functionality
FundWare Accounts Receivable streamlines the management of customer information, invoices and
statements. It provides robust reporting capabilities. Plus, its complete integration with other FundWare
modules reduces labor and the chance for errors.
Maintain Unlimited, Detailed Customer Notes
Create, edit, delete and print multiple notes for each customer, up to 250 characters. Notes can be tracked by
author, with date stamps. You can also create a single note and add it to multiple customer records.
Group Customers to Save Invoicing Time
Accounts Receivable lets you create and modify customer groups easily. You can create a single invoice, and
Accounts Receivable will automatically customize it for each recipient within the group. Each individual
customer can belong to more than one group.
Easily Track Transaction History for Each Customer
Accounts Receivable lets you drill down to complete invoice and receipt detail over any period of time.
Memo Invoices
One of the most powerful features of Accounts Receivable is the ability to record Memo Invoices. A Memo
Invoice is an entry that is posted to a customer record within Accounts Receivable, but does not post as an
actual entry to the General Ledger. Memo Invoices are useful for recording expected future cash receipts
which are not yet obligated, including pledges, expected contributions or estimated future receipts related to a
specific event such as voluntary membership fees.
Memo Invoices may be selected to appear on a number of Accounts Receivable reports, including agings by
customer, to assist in accurate cash forecasting of expected receipts. A Memo Invoice may be converted to a
standard invoice at any time, at which point both the customer record is updated to reflect the actual invoice,
and the appropriate entries are made to record revenue to the General Ledger.
Accounts Receivable's Customer Account Management also allows you to:
• Use credit memos to adjust customer accounts for a complete audit trail. • Place customer accounts on hold when credit limits are exceeded. |
• Classify customer accounts as inactive, so that no further data can be entered. • Store multiple addresses and contacts for each customer. • Review up-to-the-minute aged account balances. |
• Assign revenue codes to identify different types of charges. These codes may be distributed among multiple accounts, based on user-defined percentages or fixed amounts. • Produce variable aging reports based on invoice date or due date. Users can determine the number of columns to display and the time increments for each column. • Record non-invoiced revenue with FundWare Cash Receipts (included with Accounts Receivable), without generating an invoice, to facilitate the recording of front-office cash receipts. |
• Apply overpayments to amount due as well as to future account balances. • Calculate payment due dates from the invoicing date by defining terms. • Create pending receipts which may be modified prior to posting. |
